Once we receive your application, we will contact you to get more information from you or confirm your booking. You need to ensure that you are familiar with the booking terms and conditions that are sent to you via email when you make your application.
Payment
The pitch fees are stated in your application. Once your booking has been confirmed you need to pay your pitch fee within 10 days, after this date your pitch will be offered to other traders.
Payments can be made by bank transfer or by card over the telephone, please phone Tina on 01507 578236 Mon-Thurs 9am-4pm. Once payment has been made your pitch is reserved.
Before the Event
Around a week before the event we will send you more information about the event including – arrival times, parking, setting up, and more… Please ensure you read this information carefully. If you have any questions, please get in touch!
On the Day!
Everything you need to know including time of arrival will be mentioned in the pre-event email. You normally need to arrive at around 8am, however sometimes we may need to stagger arrivals. If this is the case we will give you with a specific time slot to arrive, this helps to keep traffic moving and avoid long wait times.

Booking Terms and Conditions
- Exhibitors are required to carry the relevant valid insurances. Proof of cover must accompany the booking form in order to secure your booking please send this to contact@stourtonestates.co.uk
- Exhibitors using electricity or gas must provide PAT testing or gas safety certificates. Generators are not permitted onsite unless you have our prior permission.
- Exhibitors must also complete a risk assessment form.
- This is an application form – you will receive an email within 30 days of returning this form to let you know if you have been successful or not. If your application is successful you will be sent the payment instructions. A pitch is not reserved for you until it has been paid for in full.
- Your booking must be paid within 10 working days of receiving your confirmation of application either via BACS or we can accept payments by card over the telephone. Payment details will be sent on confirmation of application. Any cancellations made less than 2 months prior to the event will not be refunded.
- Each trader must undertake to comply fully with trading standards, health and safety, environmental health, licensing and all other relevant legislation.
- We reserve the right to limit the number of any one craft per event, so bookings will be taken on a first come first served basis. If organisers find traders exhibiting items that they have been asked not to bring in the matter of duplication or health and safety, those items will be removed from sale at the event immediately, failure to do so will result in the trader being asked to leave the event, without refund.
- On completion of the day exhibitors must leave the site clear of all equipment and rubbish leaving the venue as it was found.
- In any eventuality that we have to cancel the event, your booking fee will be refunded in full. The organisers or the venue shall be under no liability in any way whatsoever in respect of any expenditure, damage, liability, or loss sustained or incurred by the trader.
- By submitting your information, you’re giving us permission to email you. If you wish to be removed from our database please contact us and we will unsubscribe you at any time.
- Entry to this event is free of charge, however a small car parking charge may apply for visitors.
- Only one vehicle per exhibitor is permitted onsite and most vehicles need to be parked in the car parking area.
- Arrival and set up is from 8am on the day ready for opening at 10am and exhibitors can commence packing up at 4pm, when the event closes.
- In the interest of public safety all tents, gazebos and pitch equipment must be erected in a safe manner.
- Exhibitors will be expected to carry out any reasonable request from our staff and volunteers with regards to public safety, and action in the event of an emergency during the day.
- Well behaved dogs on leads are permitted.

Please note: Electricity is not available at Stourton Woods. Exhibitors are expected to bring their own tables & any equipment needed and erect these themselves.
